1. Introduction
At VJM Writing Services, we provide brand messaging strategy and compliance-conscious copy audits for businesses in the food and supplement space. This Refund and Cancellation Policy explains our practices around deposits, cancellations, and refunds for all service engagements.
This policy applies to both project-based and retainer-based services and should be read in conjunction with our Terms and Conditions. In case of any conflict between this policy and the Terms, the Terms and Conditions take precedence.
2. Payment Structure
A 50% non-refundable deposit is required to confirm your booking and initiate work on any project.
The remaining 50% is due before delivery of final materials.
No deliverables (reports, rewrites, strategic plans, or templates) will be shared until payment has been received in full.
Payment is accepted securely via Stripe or Wise. Clients are responsible for any third-party transaction or currency conversion fees.
Where applicable, alternative payment schedules may be arranged in writing. In such cases, deliverables may be provided in phases, aligned with the agreed milestones.
3. Cancellation Policy
Before Project Start
If a project is cancelled before any work has begun, a partial refund may be issued at our discretion, less any applicable processing or preparation fees.
After Project Start
If work has commenced, the 50% deposit becomes fully non-refundable. If substantial work has already been completed, we reserve the right to invoice an additional fee based on the percentage of work delivered or time spent.
Client Delays or Pauses
If the Client becomes unresponsive or fails to provide necessary input within 14 days, we may:
Cancel the project and retain the deposit, or
Invoice for work completed to date at the agreed or standard hourly rate
Projects placed on hold for more than 30 consecutive days without communication may be considered cancelled and subject to rebooking fees if restarted.
4. Refund Policy
Non-Refundable Deposits
All deposits are non-refundable once work has begun, as they cover initial time, scheduling, and opportunity costs.
Completed Work
Refunds are not issued for completed work that aligns with the agreed brief. Strategic and creative services are inherently subjective, and dissatisfaction alone does not warrant a refund.
Clients are encouraged to make full use of the included revision round to align the deliverables with their expectations.
Exceptional Circumstances
Refund requests due to non-delivery or clear deviation from the approved scope will be reviewed on a case-by-case basis. Any such request must be submitted within 7 calendar days of receiving the final deliverables.
Requests submitted after this window will not be considered.
5. Revisions and Disputes
Each project includes one round of revisions, provided the request is made within 7 calendar days of initial delivery. Revisions must remain within the original brief.
Requests that introduce new material or significantly shift the scope may incur additional fees at the current hourly rate.
Additional revision rounds are available upon request and billed accordingly.
If you believe the work does not reflect the agreed scope, please contact us in writing within 7 days of delivery. We will make reasonable efforts to address concerns in good faith. Disputes raised after this period may require a new agreement or additional billing.
6. Chargebacks and Payment Disputes
Clients agree to communicate directly with VJM Writing Services regarding any concerns with payment, deliverables, or service quality before initiating a chargeback or third-party dispute.
Filing a chargeback without first attempting resolution is considered a breach of contract.
We reserve the right to dispute any unfounded chargebacks and pursue recovery of funds — including reasonable legal costs — if necessary.
All payment-related disputes will follow the dispute resolution process outlined in the Terms and Conditions and be governed by the laws of England and Wales.
