Refund and Cancellation Policy for VJM Writing Services

1. Introduction

VJM Writing Services is committed to delivering high-quality copywriting, consulting, editing, and content strategy services to clients in the nutrition and wellness industries. This Refund and Cancellation Policy outlines our practices regarding deposits, cancellations, and refunds.

This policy applies to all service engagements, whether project-based or ongoing, and is intended to be read in conjunction with our Terms and Conditions. In the event of any conflict, the Terms and Conditions shall take precedence.

2. Payment Structure

A 50% non-refundable deposit is required to confirm your booking and commence work on any project. This deposit secures your place in our schedule and covers initial time and resources allocated to the project.

The remaining 50% is payable prior to the delivery of the final project deliverables. No final files or content will be released until full payment has been received.

All payments are processed securely via Stripe. Clients are responsible for any applicable transaction or currency conversion fees.

Alternative payment schedules may be agreed in writing on a case-by-case basis. In such cases, content may be delivered in stages aligned with the agreed payment terms.

3. Cancellation Policy

Before project commencement

If the client cancels the project before any work has begun, a partial refund of the deposit may be issued, minus any processing fees or time already spent on preparatory work. Refund decisions are made at our discretion.

After project commencement

If the client cancels the project after work has begun, the 50% deposit is non-refundable. If substantial work has already been completed at the time of cancellation, VJM Writing Services reserves the right to invoice the client for additional time and deliverables, based on the agreed hourly rate or project scope.

Client delays and non-responsiveness

If the client fails to provide required input, content, or approvals within a reasonable timeframe (typically 14 days unless otherwise agreed), VJM Writing Services reserves the right to:

• Cancel the project and retain the deposit, or

• Invoice for work completed to date at the standard hourly rate

Projects paused for more than 30 days without communication may be treated as cancelled.

4. Refund Policy

Non-refundable deposits

The 50% deposit is non-refundable once work has commenced. This deposit secures your booking and compensates for time, resources, and opportunity cost.

Completed work

Refunds are not available for work that has been completed and delivered in line with the agreed scope. Creative work is inherently subjective, and dissatisfaction alone does not qualify for a refund.

As outlined in the Terms and Conditions, one round of revisions is included to ensure the final content aligns with your expectations. Additional revisions can be requested at the standard hourly rate.

Exceptional circumstances

Refund requests based on non-delivery or significant deviation from the approved project scope will be considered on a case-by-case basis. Any such request must be submitted in writing within 7 days of receiving the final deliverables.

Refund requests made after this period will not be eligible for review.

5. Revisions and Disputes

Revisions are provided in accordance with the Terms and Conditions. One round of revisions is included with each project, provided the request is submitted within 7 days of receiving the initial draft. Revision requests that introduce new content, significantly alter the brief, or fall outside the original project scope may be quoted separately.

Additional revisions beyond the included round will incur fees at the standard hourly rate.

If you believe the delivered work does not meet the agreed brief or contains substantive errors, you must notify VJM Writing Services in writing within 7 days of delivery. We will make reasonable efforts to resolve the issue in good faith through discussion and revisions where appropriate.

Disputes raised after this 7-day window may not be eligible for review or further work without additional fees.

6. Chargebacks and Disputes

Clients are expected to contact VJM Writing Services directly to resolve any issues related to payments, deliverables, or service expectations. Initiating a chargeback or payment dispute without first attempting resolution through appropriate communication will be considered a breach of contract.

VJM Writing Services reserves the right to contest any unjustified chargebacks and to pursue recovery of funds, including reasonable legal costs, if necessary.

All disputes related to payments, services, or deliverables will be handled in accordance with the dispute resolution process outlined in the Terms and Conditions and governed by the laws of England and Wales.
